Your company's settings

Questo argomento non è ancora disponibile nella sua lingua; viene mostrato il testo in inglese.

Settings, in the Organisation section of the sidebar, holds everything about the company as a whole: its name and languages, how reports are reviewed and numbered, the methods it offers, the client portal, and the connections to other systems. The pages are listed in groups: Organisation, Client portal, Access and integrations, and Owners only. This topic goes through them in that order and says who may change each.

Who sees the settings

Owners and admins open the settings and change most of them. Two pages are for owners alone, Data and region and Plan and billing, and two switches on other pages are an owner's: AI drafts and the Operations module. Group shows only where the company is in a group of legal entities or may form one; Operations only where the plan or an add-on makes the module available. A person's own settings (account, security, language, appearance) are in their own menu, at the foot of the sidebar; see account and security.

Organisation

The company itself. Owners and admins change it.

  • Name, as it appears on reports, in the client portal and in emails. The portal address stays as it is.
  • The company's type: Personal organisation or Company. A personal organisation has one seat; Turn into a company opens it to colleagues, roles and review, keeping every report, client and portal as it is. An owner does this, and it cannot be undone.
  • Default interface language, for your portal's sign-in page and for emails to people who have not chosen a language. Every person picks their own language.
  • The report languages, inherited by clients and projects unless they set their own; see writing a report.
  • Time zone: it decides which day "today" is for calibrations, certificates, report numbers and issue dates.
  • Days of warning before a calibration or certificate runs out, between 7 and 365, for the dashboard and the registers.
  • Paper: A4 or US Letter, for reports, timesheets and dossiers from now on. An issued report keeps its paper.
  • Contact details: address, phone, email and website, and under What your clients see, whether to Show these contact details in the portal and Show clients who does their job (the inspector chosen for a request, with their email and work phone, while it is in progress).
  • What you call your work: NDT (non-destructive testing, the wording of ISO and EN standards) or NDE (non-destructive examination, the wording of ASME codes). It changes the English names of methods and report templates from now on; other languages keep their own terms.

Offices and Group

Offices: your locations, where you have more than one. An office is a label on projects, people and instruments: the lists then show one office or all, and report numbers can carry its Code, such as ABZ. It hides nothing from anyone. Add an office, Edit, Archive and Restore; an archived office is offered on no form, and what carries it keeps it. Owners and admins keep offices.

Group: for a company with several legal entities. Each is a company of its own here, with its own reports, letterhead, home currency and hosting region; the group gives them one bill, counts a person once across them and shares staff between them. An owner chooses Form the group; their company becomes the first in it and the one it is billed through. The group's administrators Add a company (a new one, with its legal name and hosting region) or Bring in a company you own, see every company's figures, never its content, and name further administrators among the companies' owners and admins. Being an administrator gives no way into a company: that takes a membership in it. Separate legal entities are companies in a group; locations of one company are offices.

Reports

How reports are reviewed, numbered and printed. Owners and admins change it; changes apply to reports from now on.

  • Review before issue: No review: issued on the examiner's signature, Review optional: the examiner decides per report, or Review required before issue. A project may ask for a stricter review than this, never a looser one.
  • One person may examine and review the same report. Off, the reviewer must be someone other than the examiner.
  • Numbering: the way reports are numbered, chosen from a few or built from parts, with First number of a new sequence; see how your reports are numbered.
  • When a report gets its number: When it leaves draft (sent for review, or issued where there is no review; numbers stay gapless) or As soon as it is started, for technicians who need the number in the field.
  • Reports in several languages: Each edition holds One language (a PDF per language) or A language beside the authoritative one (each other language paired with the first on the same pages). Issued reports keep the editions they were printed with.
  • Scans and files: Share a report's files with the client when it is issued. On, the scans and other project files linked to a report reach the client's portal with it; off, you share files by hand, per file or per folder.

Methods

Methods you offer: every inspection, testing and survey method you do, in groups. Only these are offered on your forms and on your clients' request form; reports and certificates in other methods still show them. Open a group to tick its methods, or search; Choose all and Choose none per group. Under A method of your own, name work the list does not cover: it is offered like the others, in the words you give it. Owners and admins change it.

Request forms

What your clients are asked when they raise a request; see inspection requests. Owners and admins change it.

  • Your request form is one form for all your work: for each standard question, Required, Asked or Not asked. Each group of questions appears only when a client ticks a method that needs it.
  • Your own questions, in your own words, asked after the standard ones: short or longer text, a number, one or several choices, yes or no; with a unit, and Required where needed. A reworded question keeps the answers already given.
  • Different for a method? (optional): a form for one method starts from your request form and changes only its own questions. Where several ticked methods share a question, it is asked once, as strictly as any of them asks it.
  • Your own blank form: your company's own request form as PDF, Word, Excel or OpenDocument. Clients download it from the request page, fill it in and upload it with the request.

AI

Whether AI drafts are on for the company, what is sent and to whom, and the month's allowance. Owners and admins open the page; only an owner switches Allow AI drafts on or off. Everything about it is in AI drafts.

Operations

The Operations module: jobs, crews, timesheets and turnarounds, the step between a client's request and the reports that answer it; see operations. The page shows only where your plan or an add-on makes the module available, and only an owner changes it.

  • Switch the Operations module on. Off, nothing of it shows; switching off hides everything the module adds and deletes nothing.
  • Readiness: People tick their own readiness items. On, a technician or crew member records their own induction, pass or visa from their day, and whoever runs the job confirms it; off, only those who run the job record anything.
  • Money: the Home currency your books are kept in (new rate cards start in it, exchange rates are quoted in it; existing cards, estimates and pay rates keep theirs); Which day's exchange rate counts wherever an amount is shown in the home currency; and Where exchange rates come from: typed in by your finance department, or taken each day from a national bank or the rates service. A rate typed in is never overwritten.
  • People's own pay: People see their own hours and pay, a page of their own for every member, crew included, with their pay rate and what the approved hours come to, as an estimate before tax and deductions.
  • Overhead on labour cost (%), added to a job's costs in its margin. Empty: none.

Client portal and Portal domain

Client portal: your clients sign in to a portal that carries your name, colour and logo. Who may sign in is decided per client, on the client's page; see the client portal. Owners and admins change the page.

  • Address: where client users sign in; invitations link to it.
  • Branding: the Accent colour of the portal's buttons, links and marks, and your Logo (PNG, JPEG or WebP), with a preview.
  • Requests from your website: Take requests from your website opens a request form anyone can fill in without an account, from a link on your own site. Copy the link, or Copy the button to paste on your website. What is sent reaches you under Requests, Website requests, once the sender has confirmed their email address.

Portal domain: the portal can answer on a domain of yours, such as portal.yourcompany.com, with the same sign-in and your branding; it comes with a higher plan. Enter the Domain, then create the two records shown at the company that runs your DNS: a TXT record that proves the domain is yours and a CNAME record that sends visitors to your portal. The check runs every few minutes for a few days; Check now runs it at once. Once confirmed, the certificate is taken care of, and the record is checked again on a schedule: if it goes missing, the portal keeps working and the page asks you to put it back. Stop using this domain returns your clients to the usual address; links in earlier emails to the domain stop working.

Single sign-on, and API and webhooks

Single sign-on: your staff sign in through your own identity provider (OpenID Connect: Microsoft Entra ID, Google Workspace, Okta and others). Only people who are already members sign in this way; invite new colleagues as before. Register this application with your provider using the Redirect address shown, then enter the Issuer URL, Client ID and Client secret (kept encrypted and never shown again). Under Email domains, add each domain your staff's addresses are in and create the TXT record shown, then Check now: the provider signs in only people with an address in a domain you have proved. Staff with an address in a proved domain must use single sign-on enforces it; owners can always sign in with their password, so a problem at the provider cannot lock you out. Switch off returns everyone to passwords. Owners and admins change it; it comes with a higher plan.

API and webhooks: connect your own systems. The page names the address the API answers at. Owners and admins change it; it comes with a higher plan.

  • API tokens read what your company has issued, and nothing else: no drafts, no changes. Give a token a Name, how long it is Valid for (days), and, for someone with commercial access, May read money. The token is shown once, when it is created; copy it then. Revoke stops it at once.
  • Webhooks send an event to each Address (https, accepting POST) when a report is released, withdrawn, commented on or accepted, when a request is raised or moves on, when a timesheet is signed, or when thickness readings change. Every event is signed with a secret shown once when the address is added; failed deliveries are tried again over several hours, and Recent deliveries shows each one with Send again. Send a test sends a test event; Switch off stops an address for good.

Owners only: Data and region, and Plan and billing

Data and region, for owners:

  • Hosting region: where your files are kept (report PDFs, scan data, drawings, dossiers and everything uploaded). They never leave this region's storage, and the region is fixed once files are stored; contact us if you need to move.
  • Export everything: Build an export, a ZIP of every record the company holds, one file per table, with Include the stored files if wished. It is kept for seven days, and each download is recorded.
  • Close the company: with your password, once no subscription stands and the company does not bill a group. Its workspace, portal, share links and API stop answering at once; its issued reports can still be checked on their verification pages, and its people keep their accounts. For 90 days it can be reopened as it was: write to us. Take an export first; once it is closed, nobody can.

Plan and billing, for owners: the plan, what it allows and how much is in use, the apps the company holds, and the subscription; see billing and plans.

Your own settings

Your name, password, two-factor authentication, language and appearance are yours, not the company's, and live in your own menu at the foot of the sidebar: Your account, Security, Language and Appearance. See account and security.
